Senior Engineering Administrator - Hertfordshire

I am currently looking to recruit a Senior Engineering Administrator to join my client based in Hertfordshire.

Description.

To assign and record the maintenance carried out in the Automated Distribution Centre, to produce weekly reports for the engineering team of assets to maintain, and to collate this information and present it in graph and data formats to the relevant managers. To provide administrative support to the Engineering Department.

Key Functions of the role. :

Be the first point of contact for the Engineering Administrator team including being the first line support for daily processes.

Be the first point of contact for the Stores Support/ Engineering Administrator including being the first line support for daily processes.

Supervise a small team to ensure the following are achieved.

Collate maintenance actions from numerous sources and schedule this work to be actioned as part of our closing the loop process. Run daily meetings to communicate actions from this.

Plan the Inbound maintenance for the week ahead, liaising with other departments to ensure availability of equipment.

Plan the outbound maintenance for numerous shift rotations, to ensure the up keep of all engineering equipment.

Maintain the plan to ensure that Statutory checks are kept up to date and completed within the necessary parameters (Ladders, Platforms LOLER, sprinkler bell testing, and monthly emergency lighting checks).

Ensure all documentation needed to perform the maintenance work is provided as necessary.

Maintain the Asset Database to ensure it’s kept up to date.

Identifying opportunities for improvement in maintenance process as a result of Service analysis Update CMMS to reflect this.

Production of maintenance KPI’s. Support Engineering Operations in identification and analysis of trends.

Work closely with the Stores Person to provide feedback to the Engineering Operations Manager on current below Minimum & out of stock items.

Identifying opportunities for improvement in stores or maintenance process as a result of KPI analysis.

Work with finance to resolve invoice queries.

Raise work orders as required.

Production of bi – weekly store KPI’s and reports.

Data entry for maintenance information received from the maintenance works, to ensure reporting is available.

Arrange insurance inspections for cranes when required. Liaise with insurance companies to carry out follow up works.

Work with maintenance supervisor to maintain labour utilisation records.

Input data into the CMMS (computerised maintenance management system).

Develop and provide documentation/suggestions for new proposals/procedures when required.

Process the Monthly overtime for the department.

Maintain holiday planners and sickness holiday and overtime records.

Experience required:

  • Broad and demonstrable administrative experience
  • Extensive knowledge of Microsoft Excel
  • Working knowledge of a purchasing system “Oracle” or other
  • Working knowledge of the CMMS system EOS or other
  • Ability to audit reports and produce data based on these reports
  • Ability to manually produce a maintenance plan
  • Working knowledge of engineering stores procedure
  • Be able to produce good standard KPI's on a weekly/monthly basis
